Hotel booking policy (up to 5 bookings):

Important: please be informed that hotel bookings through bnetwork online portal are exclusively for participants registered to ICCA 2026 Madrid. We reserve the right to cancel your reservation/s in case registration for the event has not been done.

Payment policy:

Upon acknowledgement of booking, a deposit corresponding to 50% of the total cost of your reservation is requested to secure your hotel reservation.

By 12th March 2026 an additional 50% deposit is requested, for a total amounting to 100% of the total reservation.

Failure to pay the remaining 50% deposit by 12th March 2026 will result in cancellation of reservation and forfeiture of all deposits paid.

From March 13th 2026 any additional booking must be paid in the moment of making the reservation. Bookings without payment will not be confirmed
Final invoice will be issued and provided by the hotel upon check out.

Cancellation policy

From confirmation until 12th February 2026, in case of cancellation of reservation no cancellation charges are applied.

Between 13th February and 12th March 2026, in case of cancellation of reservation or reduction of stay, the participant will be charged 50% of the total cost of the cancelled nights.

From 13th March 2026, all reservations are 100% non-refundable. This includes cancellation and shortening of stay. The participant will be charged 100% of the total cost of the cancelled nights.

Cancellations shall be communicated to bnetwork in writing via email at the following address: iccahotels@bnetwork.com. Penalties may apply. Telephone cancellations are not accepted as valid.

Reservation modification changes: all reservation modifications can be made through the website "My account" function at https://icca2026.bnetwork.com/ in writing via email. Changes will be confirmed by bnetwork within 24 hours and are subject to availability.

Personal information protection: bnetwork complies with applicable data protection laws and regulations regarding collection, use, transfer, disclosure, retention, security, and destruction of “personal information” (P.I.) and “personally identifiable information”). Bnetwork will only use P.I. that is provided by the company or directly by an individual solely to the extent necessary to perform its obligations under this contract. bnetwork shall not employ the P.I. for b network’s own purposes nor for the purposes of third parties. bnetwork shall not transfer data or P.I. to any third parties, except upon prior written approval of the company. By signing this contract, you confirm that you are entitled and have corresponding approval to disclose on behalf of a third-party data.

Hotel booking policy (from 6 bookings):

Payment conditions:

Upon confirmation, a deposit corresponding to 30% of the total cost of your pre-reserved allotment is requested to secure your hotel reservation.

By 05th February 2026, an additional 50% deposit is requested, for a total amounting to 80% of the total reserved allotment.

By 12th March 2026, an additional 20% deposit is requested, for a total amounting to 100% of the total reserved allotment.

From 13th March 2026, any additional balances or bookings are requested to be paid upon confirmation.

We kindly inform you that the final invoice will be issued and provided by the hotel through bnetwork.

Cancellation conditions:

From confirmation of your hotel allotment until 12th February 2026, in case of full cancellation of the pre-booked allotment per hotel, you are committed to pay 10% of the deposit paid as administrative cancellation fees penalty. Partial cancellation is allowed without penalty.

Between 13th February and 12th March 2026, 50% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between 13th March and 26th March 2026, 10% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

From 27th March 2026, 100% of the allotment night by night is due in case of cancellation.
